This position will provide Administrative/Operational support for the GreyMAR.io team at GreySignal, Inc. The successful candidate will be a collaborative team member with a friendly work style. Must be exceptionally well-organized, able to effectively multi-task & prioritize, and take initiative.

Key Qualifications

  • Excellent organization skills, acute attention to detail, ability to juggle multiple tasks in a fast-paced, and time sensitive environment
  • Proven track record of meeting deadlines and taking initiative to make confident decisions quickly and under pressure
  • Experience calendaring for multiple Directors and above
  • Must possess a “can-do” attitude for all situations
  • Excellent written and verbal communication skills and professional demeanor
  • Demonstrates a proactive ability to anticipate needs and changes, then react efficiently with independent/sound judgment
  • Has a passion for learning new things, continuous improvement and sharing best practices
  • Direct experience dealing with sensitive and confidential information with integrity

Description

  • Provide full administrative support to multiple team members
  • Ability to manage cross-functional meetings with heavy calendaring
  • Organize meetings via live, videoconference and conference calls
  • Organize and maintain complex travel schedules, domestic and international
  • Quickly develop an understanding of the teams operations, culture, policies and procedures
  • Help plan and execute Press Briefings
  • Assist in planning and execution of Off-sites and Events
  • Help maintain Budgets and Payments for Briefings and Events
  • Consistent interaction with multiple departments within GreySignal Inc.
  • Handle and maintain highly confidential and sensitive information
  • Strategic thinking needed, able to understand the business and see the “big picture”
  • Ability to excel working with complex and different personalities diplomatically
  • Proactively manage some team support, ranging from printer management, supplies, AOU ordering, subscription management and more
  • Proficient in eApproval to process invoices and complete expense reports
  • Experience with on-boarding new employees
  • Knowledge of how to address IT matters quickly and easily
  • Efficient in Apple applications, especially iCal, Keynote, Numbers, Pages along with additional knowledge of Excel
  • Efficient in Apple devices
  • Contribute a fun and creative approach to team activities and moral
  • Understand the SaaS environment

Education

BS degree preferred, or equivalent experience
